Mission Statement

It is the mission of the Records Management/Imaging Department to ensure sound records management principles in the creation, receipt, storage, retention, disposition and preservation of records. We provide assistance with State regulatory requirements to promote transparency and strive to maintain a systematic plan in managing Mohave County's records for ready access and historical preservation.

Overview

Since the creation of the Records Management Division in 1998, it has been under the authority of the Recorder. Our division is mandated by ARS 41-151.14 and described in the Mohave County Administrative Procedures (3-3).
 
Our goal is to support records management fundamentals, policies, procedures and act as liaisons for the direct reporting to the Arizona State Records Management Division and the Arizona State Archives. We provide support, training and guidance to county departments concerning records management issues. The records awareness within this organization is increasing; demands of managing paper records, the desire to protect historical records and the need to advance in the creation, management and storage of electronic records. The division adds value in its ability to assist with records processing practices for other county departments by sharing standards with preparing, scanning, determining appropriate records retention and the final destruction of those records. Destroying records when retention is met, is smart, smart data retention minimizes the exposure to judicial, regulatory and civil liability. Timely destruction also lessens the liability of over retaining the personal data held within our records. Creating electronic records that can be easily accessed and managed is a vital asset and is an important step of effective information governance. This service provides Mohave County the assurance through compliancy, that records processed with the aid of Records Management Division meet the Arizona State guidelines set by the Arizona Statutes. If and when the organization is scrutinized on a legal or regulatory level, these acts lessen the liability burden on Mohave County concerning the management of its records.
 
Records Management Services
  • Consulting and advising on all records matters.
  • Liaison with the AZ State Records Management and Archives Divisions.
  • Approvals for Imaging Requests, Destruction Reporting and compliancy with statutory requirements.
  • Assisting County departments with scanning, classifying, indexing and creating electronic records.
  • Full micrographics lab, converting electronic images to microfilm, processing and duplicating microfilm.
  • Warehousing records and overall preservation of records as responsible custodians.
  • Providing standards and best practices to alleviate risks.
Employee Responsibilities
 
Employees are responsible for creating, maintaining and securing records of their work. Every employee has four basic obligations to government records.
  • Create accurate records needed to do the business of the agency, record decisions and actions taken, and document activities for which they are responsible for. Protecting interests and assuring government accountability is paramount.
  • Care for records so that the information can be found when needed. Creating directories and files, in standardized formats, regularly and carefully in a manner that allows for findability and efficient retrieval when requested.
  • Protect, secure and preserve the records in your custody according to Arizona State statutes and the Arizona Library, Archive and Public Records standards. Preservation and continued accessibility for current and future generations is the goal.
  • Carry out and report disposition/destruction of records under their control in accordance with current Arizona State retention schedules and properly shred all content due for disposal to minimize risk.

  • Frees up office space for other purposes by moving inactive records to offsite storage facilities, or deleting electronic files to clear up ROT (redundant, obsolete or trivial data) for an efficient use of server space.
